Basics of 'Users'

Learn about how to create and manage users, user roles, and the different permissions in Veratrak.

A user is an individual who has been granted access to the Veratrak platform. Each user is given a specific User Role, which defines their access and permissions within the platform. Veratrak utilises role-based access control to ensure access is permitted appropriately across the platform.

The Users page lists all of the users with access to the platform, their role, company, user type, and registration date (or ability to re-send invitations, if not registered already)


User Roles

Within the Veratrak platform, there are three standard types of user roles: Admin, Workspace Member, and Guest.

These roles have different levels of access and functionality within the platform, which are displayed in the table below. Additional custom user roles can be generated upon request.

The Admin and Workspace Member roles are designed for internal users that are involved in actioning steps within the platform. The Admin role is the highest permissioned role in the platform, and the only role with Audit Log access, and the ability to add or delete items like Templates and Custom Fields.


The Guest role is designed for external users of the platform. Limitation of Guest user access prevents sensitive documents being viewed, or altered, by external parties.

Users can be added to the platform via the Users page, or via the workspace create or edit page.


Creating a New User - Via the Users page

  • Select the 'Create New User' button on the Users page - the below modal will appear.

  • Enter the new user's email address, name, role and company - select 'Save'

  • This new user will appear in the Users list, as an unregistered user, and they will receive an invitation email to the Veratrak platform.


Creating a New User - Via the Workspace page

Users added via this process will always be added as Guest users.

  • Select 'Invite a new user by email' in the 'Create Workspace' or 'Edit Workspace' page

  • Enter the new user's details then 'Save' to add them to the Workspace and invite them to the platform.

  • This new guest user will appear in the workspace collaborators list, as an unregistered user, and they will receive an invitation email to the Veratrak platform.

Editing a User

Need to change the way a user is set up after the fact?

Admins can change a users role, company, job title, phone and timezone, regardless of if they are registered or not.

Details such as the name and avatar initials of a user can only be changed by the user themselves.

Deleting a User

If you need to remove a user from the platform, you can delete them from the Users page. You will be asked to confirm the deletion, as this will permanently remove the user.

Electronic records of the activity history of this user will be maintained as agreed with your company, for reasons such as audit requirements.
